Team & Organization Management
Overview
An organization (also called a workspace) is the unit of shared access in Cliqtel. When you sign up, an organization is created automatically with you as its owner. You can then invite colleagues to join the same workspace so you collaborate on the same numbers, SIP trunks, conversations, and billing.
Most small teams only ever need one organization. If you manage multiple separate businesses with isolated billing, contact support@cliqtel.com — multi-organization membership is not supported in v1.
What is an organization?
An organization is a workspace that owns the shared resources for your team:
- Phone numbers and SIP trunks
- Wallet balance and invoices
- WhatsApp Business accounts and message history
- Call flows, announcements, and integrations
- API keys and webhook configuration
Every member of the organization sees the same data. There is one workspace per organization, and one billing relationship.
Owner vs. member
Cliqtel currently has two levels of access:

Invite teammates
Only the organization owner can invite new members.
- Open the portal and go to Settings → Team
- Enter the colleague's email address in the Invite by email field
- Click Send invitation
What happens next depends on whether the email already has a Cliqtel account:
- New email — an invitation email is sent with a unique link. The invitation expires in 14 days.
- Existing user with no organization — they are added directly. No email is sent.
- Existing user already in another organization — the invite is refused. They must leave their current organization first.
Accept an invitation
Recipients see an email like this:
Subject: You're invited to join Acme Telecom on Cliqtel Jane Doe invited you to join the organization "Acme Telecom" on Cliqtel. Accept here: https://cliqtel.com/invite/xxxxxxxxxxxxx This invitation expires on 2026-05-03.
If the recipient is new to Cliqtel
Clicking the link sends them to the Sign up page with the email pre-filled. After verifying their email, they automatically join the inviting organization — no second step required. Social signup (Google or Microsoft) works the same way: the invite token survives the OAuth round-trip.
If the recipient already has a Cliqtel account
Clicking the link takes them to a confirmation page. They click Accept invitation, and their account is moved into the inviting organization.
Manage members
The Settings → Team tab lists everyone in the organization plus pending invitations.
Rename the organization
Owners can click the organization name at the top of the Team panel to rename it inline. The name appears on invoices and in invitation emails.
Remove a member
Owners can remove any member except themselves by clicking Remove next to their row. The removed user keeps their Cliqtel account but no longer has access to the organization's numbers, trunks, conversations, or wallet.
Cancel a pending invitation
Pending invitations show in a separate list. Click Cancel to invalidate the invite link before it's accepted.
What's shared with my team
Once a teammate joins your organization, they see the same data you do:

Multi-agent WhatsApp inbox
Organizations are the foundation for multi-agent collaboration in WhatsApp:
- Conversation assignment — pick a teammate to own a conversation. The assignee dropdown lists every member of your organization.
- Internal notes — private team notes attached to a conversation. Visible only to other members of your organization, not the customer.
- Auto-reply rules — keyword and after-hours replies apply to every conversation in the organization's connected WhatsApp account.

Leaving or transferring ownership
The owner cannot remove themselves — that would orphan the organization. If you need to:
- Leave as a member: ask the owner to remove you via Settings → Team.
- Transfer ownership to another member: contact support@cliqtel.com. Self-service transfer is on the roadmap.
- Delete the organization entirely: contact support. Deletion is irreversible and releases all numbers, drains the wallet, and revokes all API keys.
FAQ
Can one user belong to multiple organizations?
Not in v1. Each user has exactly one organization. If you need to operate multiple isolated workspaces, create a separate Cliqtel account with a different email address for each one.
Can I see what my teammates are doing?
Audit logs are available for sensitive actions (number provisioning, regulatory submissions, wallet top-ups). Per-user activity dashboards are on the roadmap.
How does billing work for teams?
One wallet per organization. All members can top up, all charges deduct from the same balance. Invoices are issued to the organization, with the owner's billing address by default.
What happens to ongoing calls when a member is removed?
Any active SIP registrations from a removed member's softphone or PBX continue until the next re-registration cycle (usually within minutes). For immediate cutoff, suspend the SIP trunk credentials they were using.
Can I rename the organization later?
Yes, owners can rename at any time from Settings → Team. The slug (used internally) stays the same, but the display name and invitation emails update immediately.
